We are seeking a Scholarships and Grants Coordinator to join our Member and Client Proposition Team in our Sydney office on a full time permanent basis.
The Scholarships and Grants Coordinator ensures the successful implementation of the AICD Grants and Scholarships Program through the provision of administration excellence, effective coordination, reporting and superior service. This role involves a high level of engagement with internal and external stakeholders as it is the first point of contact for Grant and Scholarship queries. An exceptional standard of written communication and accuracy is also pivotal to the grant application process, applicant correspondence, insight reporting and contract management.
This is an excellent opportunity for a highly collaborative, dedicated and experienced professional with a strong focus on administration and co-ordination, who also has an interest in governance.
Responsibilities
- Provide highly polished, professional and accurate team administrative support.
- Manage incoming communication and queries as well as return correspondence.
- Support the development, implementation and delivery of the grant application process and scholarship program.
- Work closely with the Scholarships and Grants Manager as well as the Scholarships Partner to achieve the strategic vision and day to day deliverables.
- Develop and implement best practices and processes to enhance existing frameworks.
- Provide associated reporting, documentation and analytics.
- Accurately maintain the various databases, portals, contracts and libraries.
- Cultivate professional relationships with both internal and external stakeholders as well as applicants.
- Proactively assist with ensuring stakeholder, partner and applicant needs, expectations and satisfaction are met and maintained.
- Contribute to revenue generation through the coordination of reporting and acquittal activities including tracking contractual deliverables, collecting data and reporting requirements, and invoicing.
- Assist with meeting arrangements, calendar and diary management for the team and related stakeholders and clients.
Requirements
To be successful in this role, you will ideally have:
- Demonstrated team coordination experience
- Ideally experience in managing grants or scholarships in a high-volume environment
- Experience in supporting relationships with partners and sponsors
- Excellent project management, prioritising, time management and organisational skills
- Strong verbal and written communication skills
- Ability and ease to work and communicate with internal and external stakeholders
- High level of attention to detail with sound analysis and reporting skills
- Experience in financial distributions, reporting and acquittal activities
- Solid database management experience
- Advanced computing skills in MS Office Suite, CRMs as well as other software and technologies
- Demonstrated initiative and the ability to take ownership of tasks and responsibility for actions
- Ability to maintain confidential information
- Experience working both independently or collaboratively
