Job Tasks and Responsibilities

The Procurement Contracts Specialist is responsible for providing support to the Procurement Contract Superintendent as well as the Procurement team and site stakeholders in maintaining contract, procurement, and contract management related documentation & data within relevant systems, supporting the business regarding contract management processes & systems, providing regular reporting of procurement & contract management activity and providing contractual support as required by the business.

In addition, the Procurement Contracts Specialist is responsible for:

  • Liaising with Procurement Team to ensure all executed contract documentation is correctly loaded in M-Files DMS
  • Ensuring compliance with all standards relating to use of the M-Files DMS
  • Demonstrating continuous improvement in processes and systems related to contract management
  • Cleaning up and archiving expired contract documentation
  • Creating Contract Records and Actions in Intelex Supplier Management Module Regular monitoring & reporting on contract management activities
  • Demonstrating support to the business regarding systems related to contract management
  • Cleaning up and close out of expired contract records
  • Providing training and support to Procurement team and all stakeholders (internal and external) regarding the use of relevant systems for Contract Documentation & Contract Management
  • Demonstrating following up on any systems issues discovered and referring these to Yancoal ICT for rectification
  • Providing effective and high-quality support to the Procurement team

Skills and Experience

To be successful in this role the ideal candidate will demonstrate:

  • Experience in Procurement and Contract Administration
  • Strong understanding and experience in Contract Document Management
  • Exceptional problem-solving and analytical skills
  • Attention to detail and time management
  • Good communication skills and ability to manage a wide array of stakeholders
  • Strong operational focus, ability to drive topics and deliver results even under pressure and time constraints
