evo, proudly distributed by Haircare Group in Australia and New Zealand are excited to be recruiting a new role for an Executive Assistant to join their global head office in Adelaide.

The EA provides support to the Managing Director and General Manager in all facets of their roles (with a focus on sales & operations) to ensure their respective areas of responsibility runs efficiently and effectively, in line with policies, procedures, budgets, and company values.

The Role

  • Control and oversee the Managing Director’s and GM’s diary to ensure most effective use of their time.
  • Books and coordinates meetings on behalf of the Managing Director and the GM.
  • Collates and prepares information for management and board reports.
  • Maintains and coordinates sales support inbox, calendar, cyclical calendar, meeting schedules, document register and activity grid.
  • Provide support to sales & operations management including sales administration and sales data analysis.
  • Management of distributor contact database (outlook, zoho and mail chimp).
  • Management and governance of the loyalty program.
  • Manage the Communication and Planning Platform (CPP) for distributors including the preparation of required reports and materials together with the Sales Analyst.
  • Coordinate and prepare meeting minutes and agendas.
  • Prioritises conflicting needs; handles matters expeditiously, proactively and follows through to ensure completion of deliverables, often with deadline pressure.
  • Arranges travel plans, itineraries, and agenda; and complies documents for travel-related meetings.
  • Ensure data governance requirements are met as per the company framework.

Key Skills and Background

  • Strong experience as an EA/Sales Administration.
  • Strong experience in a similar fast paced environment supporting a sales team or Managing Director.
  • Advanced spreadsheet skills.
  • Excellent communication, consulting and interpersonal skills, proven ability in developing trusted relationships at all levels to gain support and achieve outcomes.
  • Well-developed organisational skills, including strong attention to detail and the ability to prioritise work and follow through on set tasks.
  • Self-motivated and driven; a fast learner with a calm & positive influence.
  • A team player with an outgoing, confident, and vibrant personality.
